CRM Marketing vs CRM Sales: Two Different Jobs (2026)
CRM marketing vs CRM sales, explained by someone who has worked on both. Who you talk to, the funnel, MQL and SQL, tools, job titles and which to pick.

Updated October 2026.
CRM marketing and CRM sales share three letters and very little else. CRM marketing uses a business's own customer data to message thousands of people at once, mostly at D2C brands and consumer apps. CRM sales uses a CRM tool to move individual leads towards a deal, mostly in B2B and high-ticket businesses like real estate.
The tools are different, the funnel is different, and so is what you're judged on. If you're job hunting, mixing them up means applying for the wrong job.
I've worked on both sides. I ran consumer CRM at Healthify, MyGate and Cumin Co, and used a sales CRM to manage B2B leads at Amplicomm. Here's how to tell them apart.
CRM marketing vs CRM sales: side by side
| Item | CRM marketing | CRM sales |
|---|---|---|
| Business type | D2C brands, consumer apps | B2B, high-ticket (real estate, enterprise services) |
| Who you talk to | Thousands of customers at once | One lead at a time |
| How | Automated journeys and campaigns | Calls, meetings, emails, follow-ups |
| Data | The customer's own behaviour: orders, app use, clicks | Lead details: company, budget, need, timeline |
| Funnel words | Repeat purchase, retention, lapsed, win-back | Lead, MQL, SQL, pipeline, closed-won |
| Judged on | Repeat orders and revenue from existing customers | Qualified leads, meetings booked, deals closed |
| Typical tools | CleverTap, MoEngage, WebEngage, Kwik Engage, Klaviyo | Salesforce, Zoho CRM, HubSpot Sales Hub, Freshsales, LeadSquared |
What CRM marketing is
CRM marketing is marketing to people who are already your users, using what they've done with you. Someone bought a protein powder 25 days ago, so they get a reminder before it runs out. Someone left a product in their cart, so they get a nudge. Someone stopped opening the app, so they get a reason to come back.
The work happens in bulk, through automation. A CRM marketer sets up journeys on a platform like CleverTap or MoEngage (here's how the main ones compare), writes the messages, picks who gets them, and reads the results. One journey can reach lakhs of customers.
The questions a CRM marketer answers are about the customer base. How many came back for a second order? Which messages brought them back? Who is about to leave? My guide on how to become a CRM marketer covers the metrics and skills in detail.
What CRM sales is
CRM sales is managing a pipeline of leads until they buy. The leads usually come from ads, forms, events or referrals, and each one is worth a lot. A flat, an enterprise software contract or an agency retainer can be worth lakhs or crores, so every lead gets individual attention.
The CRM tool is a record of each lead and every conversation with them. It holds who they are, what they need, what was said on the last call, and what happens next. The person using it is often a salesperson or a sales coordinator, not a marketer.
This is the CRM most people mean in real estate. A "CRM executive" at a real estate developer usually handles enquiries, site visits, follow-ups and paperwork after booking.
Sales CRM vs marketing CRM: the software
Search for this topic and most results compare software, a sales CRM against a marketing CRM. The software split follows the job split.
A sales CRM, like Salesforce, Zoho CRM or LeadSquared, is a database of leads and deals. Each record has a stage, an owner and a next step, and the salesperson updates it after every call.
A marketing CRM, which D2C teams usually call a customer engagement platform, is built to send messages. CleverTap, MoEngage and WebEngage collect what each customer does on the app or website, then trigger email, WhatsApp, SMS or push based on it. Nobody updates a record by hand.
Some tools, like HubSpot, sell both in one suite. Even then, the sales side and the marketing side are used by different people.
MQL and SQL: the sales funnel
Sales CRM runs on lead qualification. Two terms come up all the time.
MQL, a marketing qualified lead. HubSpot defines it as "a contact who has shown interest in a product or service but isn't ready to buy yet", according to its guide to MQLs and SQLs. Downloading a brochure or filling a form can make someone an MQL.
SQL, a sales qualified lead. A lead that's been checked and is ready for a direct conversation with sales. They have the budget, the need and the timing.
The sales funnel moves one lead through six stages. Lead, MQL, SQL, meeting, proposal and closed. Each stage is a person deciding whether to buy something big.
The CRM marketing funnel is different
CRM marketing has no MQL or SQL. The customer has usually already bought, or signed up, and the funnel is about what happens next.
| Stage | What CRM marketing does |
|---|---|
| Visitor or sign-up | Capture their details and consent |
| First order | Welcome them, set up the second order |
| Repeat customer | Cross-sell, replenishment, loyalty |
| Going quiet | Spot the drop before they leave |
| Lapsed | Win them back with a reason to return |
Instead of qualifying leads, you're counting repeat purchase rate, retention and revenue from existing customers. A cart reminder like the ones in my abandoned cart flow sits at the first-order stage. My post on win-back messages shows what the last stage looks like in practice.

How to tell them apart in a job post
Both jobs are often just called "CRM executive" (I've listed the CRM executive roles and responsibilities for each), and Google's own autocomplete for "crm executive" suggests "in real estate" and "kya hota hai". The job post's details tell you which one it is.
It's CRM marketing if the post mentions journeys, campaigns, segmentation, retention, lifecycle, email, WhatsApp, push notifications, or platforms like CleverTap, MoEngage, WebEngage or Klaviyo.
It's CRM sales if the post mentions leads, follow-ups, site visits, pipeline, closures, targets, collections, or tools like Salesforce, Zoho CRM or LeadSquared.
If a post mentions customer complaints and service tickets, it's a third job, customer support, which also gets called CRM.
Which one should you pick?
Pick CRM sales if you enjoy talking to people one at a time, handling objections live and working to a monthly target. It rewards persistence, and in high-ticket businesses the incentives can be good.
Pick CRM marketing if you like writing, numbers and building systems that run without you. You'll spend your day on a platform and a spreadsheet, not on calls. It suits people who want to understand why customers behave the way they do.
Neither is better. They're different jobs that happen to share a name. If CRM marketing sounds like yours, the Retention Career Starter Kit gives you a 90-day plan to get your first role.
FAQ
What is the difference between CRM marketing and CRM sales? CRM marketing uses a business's own customer data to send automated messages to thousands of customers and bring them back. CRM sales uses a CRM tool to follow up individual leads until they buy, mostly in B2B and high-ticket businesses.
What does a CRM executive do? It depends on the company. At a D2C brand or app, a CRM executive runs email, WhatsApp and push campaigns and journeys. At a real estate company, a CRM executive usually handles enquiries, follow-ups, site visits and paperwork after booking.
What is the difference between an MQL and an SQL? An MQL, or marketing qualified lead, has shown interest but isn't ready to buy. An SQL, or sales qualified lead, has been checked and is ready for a direct conversation with sales.
What is the difference between a sales CRM and a marketing CRM? A sales CRM like Salesforce, Zoho CRM or LeadSquared tracks each lead, their conversations and their stage in the pipeline. A marketing CRM like CleverTap, MoEngage or WebEngage uses customer behaviour to send automated email, WhatsApp, SMS and push messages to thousands of people.
Is CRM in real estate sales or marketing? Mostly sales. A CRM executive at a real estate developer handles enquiries, follow-ups, site visits and paperwork after booking, using a sales CRM to track each buyer.
Is CRM marketing a good career? Yes, if you enjoy both writing and numbers. Every D2C brand and consumer app needs repeat customers, and people who can read customer data and write the message are in demand.
