How to Learn CRM Tools: 6-Week Free Roadmap
How to learn CRM tools free in six weeks: sales vs marketing CRM, free courses and trials, a weekly plan with practice tasks, and what hiring managers check.

Updated October 2026.
To learn CRM tools, first decide which CRM you mean. Sales CRM, such as Salesforce, HubSpot and Zoho, tracks leads and deals, and you can learn it free on Salesforce Trailhead and HubSpot Academy. Marketing CRM is the set of tools D2C brands and apps use to bring customers back, such as MoEngage, CleverTap, WebEngage and Klaviyo. You can learn it in about six weeks: the language, the tools, journeys, messages, the numbers, and a practice project you can show in an interview.
I've run CleverTap at Healthify and MyGate, WebEngage at PNG Jewellers as the retention agency managing its CRM, and MoEngage at Cumin Co, and I hire for CRM roles. This roadmap is the order I'd teach someone joining my team with no experience. Every week can be done for free.
Sales CRM or marketing CRM: which are you learning?
Most "learn CRM" courses teach sales CRM. If the job you want is at a D2C brand or a consumer app, you need marketing CRM, and the courses on Salesforce won't get you there.
| Item | Sales CRM | Marketing CRM |
|---|---|---|
| What it does | Tracks leads, calls and deals through a pipeline | Messages existing customers based on what they do |
| Tools | Salesforce, HubSpot, Zoho, Dynamics 365 | MoEngage, CleverTap, WebEngage, Klaviyo, Braze |
| Who uses it | Sales teams, B2B firms, real estate | D2C brands, consumer apps |
| Job titles | Sales operations, CRM administrator, Salesforce developer | CRM executive, retention marketer, lifecycle marketer |
| Where to learn free | Salesforce Trailhead, HubSpot Academy | The roadmap on this page |
Learning sales CRM? Trailhead and HubSpot Academy are free and well made, so start there. The rest of this page is for marketing CRM. I explain the two jobs side by side in CRM marketing vs CRM sales.

The six-week roadmap
Give it about an hour a day. Each week has one skill, the free reading, one practice task and a check you should pass before you move on. The checks are the four things I listen for when I interview: you speak the language, you understand the logic, you can build the funnel, and you can dissect a problem.
If you want to go faster, each week names the Compound Lab kit that covers it in more depth. The kits are optional. The free path works on its own.

Week 1: Learn the language
By the end of the week: you can explain the 25 most common CRM terms in one line each.
Free reading: my CRM glossary of 80 terms and 30 acronyms, then what CRM marketing is and CEP vs CDP for the bigger picture.
Practice: pick a D2C brand you've bought from. Go through every message it sent you in the last month on email, WhatsApp, SMS and push. Label each one: campaign or journey, what triggered it, and which channel.
Check: can you explain a segment vs a static list, and a journey vs a campaign, without notes?
Shortcut: the CRM Glossary PDF has 216 terms, each with an Indian example and the term it gets confused with.
Week 2: Learn the tools and the data model
By the end of the week: you know how users, events and attributes reach a CRM tool, and what each tool calls the same feature.
Free reading: start the Foundation course on CleverTap University. Open the CleverTap trial and use the Demo E-commerce account, which loads sample data. Read the tool-names table at the end of the glossary.
Practice: in the demo account, build three segments: new users this week, people who added to cart but didn't buy, and customers who ordered more than once.
Check: for the cart segment, can you name the event and the attributes it depends on?
Shortcut: the CRM Tools Guide explains each concept once and maps it across MoEngage, CleverTap, WebEngage, Braze and more, with exercises on a practice brand.
Week 3: Build the funnel
By the end of the week: you can design a welcome journey and an abandoned cart journey with an entry trigger, waits, splits and an exit rule.
Free reading: flows vs campaigns, the abandoned cart WhatsApp flow and win-back campaigns.
Practice: build a welcome flow and an abandoned cart flow on the Klaviyo free plan, using test contacts with your own email (yourname+1@gmail.com). Add the exit rule "they ordered" to both.
Check: can you say why each message goes to this person, at this time, on this channel, and when they leave the journey?
Shortcut: Journey Blueprints draws 16 journeys step by step, with triggers, waits, exits and the metric for each.
Week 4: Write the messages
By the end of the week: you can write messages that pass India's channel rules and use personalisation with a fallback.
Free reading: WhatsApp template approval, the SMS DLT template guide, Liquid personalization and WhatsApp win-back messages.
Practice: write the three abandoned cart messages from week 3 for WhatsApp, email and SMS. Use a first-name token with a fallback, and decide whether the WhatsApp one is a utility or a marketing template.
Check: would your WhatsApp template be approved in the category you chose, and does your SMS fit a DLT template?
Shortcut: The Message Museum has 120 messages for WhatsApp, email, SMS and push, with why each one works.
Week 5: Read the numbers
By the end of the week: you can calculate repeat rate, average order value and RFM scores, and read lift against a control group.
Free reading: repeat purchase rate benchmarks and the global control group. Try the free repeat purchase rate calculator and LTV calculator.
Practice: make a spreadsheet of 50 made-up orders. Calculate repeat rate, average order value and an RFM score for each customer. Then split your customers into a messaged group and a control group and work out the lift.
Check: revenue from your cart flow fell 20% this week. Where do you look first: the data, the segment, the channel or the message? Say why.
Shortcut: the CRM Analyst Workbook has eight Excel calculators for repeat rate, cohorts, LTV, RFM, A/B tests and control groups.
Week 6: Prove it and get hired
By the end of the week: you have a one-page project, CV lines that describe it, and practice answering interview questions out loud.
Free reading: 100 CRM interview questions, the CRM executive job description and how to become a CRM marketer.
Practice: write up weeks 3 to 5 as one project for a real brand: the problem, the segment, the journey, the messages and how you'd measure it. Then take the free CRM and retention quiz at 30 questions and aim for Interview ready, 75% or more.
Check: can you walk someone through your project in five minutes, without slides?
Shortcut: CRM Practice Projects gives you three projects on one brand's data with answer decks. The CV, LinkedIn and Portfolio Kit and the CRM Interview Kit cover the job hunt.
Every week: The CRM Prompt Pack has 100 ChatGPT prompts for segments, messages, journeys and analysis. Use them to get unstuck, then check the output yourself.
What I look for when I hire for CRM roles
A certificate tells me you finished a course. In the interview I'm listening for four things, and each maps to a part of this roadmap.
- You speak the language (weeks 1 and 2). Events, attributes, segments, journeys and control groups come out correctly, without you stopping to translate.
- You understand the logic (weeks 3 and 4). You can say why a message goes to this segment, at this time, on this channel, and when someone should leave the journey.
- You can build the funnel (week 3). Give you a goal like "get first-time buyers to order again" and you can sketch the steps, the drop-offs and what to send at each point.
- You can dissect a problem (week 5). When a number falls, you know where to look first, and when you don't know the answer, you know where to find it.
How to talk about CRM tools in interviews
Say what you did, in the tool you did it in. "I completed CleverTap University's Foundation course and built a welcome and abandoned cart flow on the Klaviyo free plan" is a strong answer from a fresher. "I know MoEngage" after reading the docs is not, and one follow-up question will show it.
Then show you know the tools share one model. A MoEngage Flow, a CleverTap Journey and a Klaviyo flow do the same job, and you can learn a new dashboard in a week. Interviewers hiring freshers know you haven't had a paid login.
What CRM jobs pay in India
Salary sites mix CRM marketing with CRM sales and real estate roles, so their averages aren't much use. These ranges come from my own path and the people I've hired and worked with. They vary by city, company and how much you can show.
| Stage | Typical titles | Range |
|---|---|---|
| Starting out | CRM executive, email marketer | ₹4 to 10 LPA |
| Two to four years | Senior CRM executive, CRM associate at an app | ₹12 to 18 LPA |
| Manager | CRM manager, retention manager | ₹20 to 30 LPA |
| Lead | Head of CRM, head of retention | ₹30 LPA and up |

Where I fit

FAQ
Is WhatsApp a CRM tool? No. WhatsApp is a channel, a way of reaching customers. The WhatsApp Business app has labels and quick replies, but CRM work like segmenting customers, automating journeys and measuring revenue happens in a CRM tool such as MoEngage, CleverTap, WebEngage or Kwik Engage, which sends messages through the WhatsApp API.
Is CRM easy to learn? The ideas are easy to learn: segments, journeys, messages and measurement. The hard part is judgment, such as who to message, when to stop and how to prove it worked. That comes from practice, which is why every week of this roadmap ends with a task.
How long does it take to learn CRM tools? About six weeks at an hour a day to learn marketing CRM well enough for a fresher interview. Learning a new tool's dashboard after that takes about a week, because the tools share the same ideas.
Can I learn CRM for free? Yes. CleverTap University, the CleverTap 30-day trial, the Klaviyo free plan, Klaviyo Academy, Salesforce Trailhead and HubSpot Academy are all free, and this six-week roadmap uses only free resources.
Which CRM tool should I learn first? For marketing CRM, start with the concepts, then practise on the Klaviyo free plan because you can open it today. Then learn what MoEngage, CleverTap and WebEngage call the same ideas, because Indian job posts ask for those. For sales CRM, start with HubSpot or Salesforce Trailhead.
Which tools are used for CRM? Sales teams use Salesforce, HubSpot, Zoho and Dynamics 365. Marketing teams at D2C brands and apps use customer engagement platforms such as MoEngage, CleverTap, WebEngage, Braze and Klaviyo, plus WhatsApp and SMS providers.
What is the salary of a CRM executive in India? For marketing CRM roles at D2C brands and apps, roughly ₹4 to 10 LPA at the start, rising to ₹20 to 30 LPA at manager level, in my experience. Salary sites often mix in sales and real estate CRM roles, which pay differently.
Do I need a certification to get a CRM job? No. A free certification from CleverTap or MoEngage helps your CV, but interviews test whether you can build a segment, design a journey and read results. A practice project you can walk through matters more.
How do I become a CRM marketer? Learn the skills in this roadmap, build one practice project for a real brand, and apply for CRM executive or retention roles at D2C brands and apps. My guide on how to become a CRM marketer covers the full path.
